Privacy & Cookie Policy

This notice describes how Smile Club Kids processes the personal data of site visitors, pursuant to Regulation (EU) 2016/679 (GDPR) and current Italian data protection law.

1. Data controller

The data controller is Smile Club Kids, located at Via della Pace, 41 — 40015 San Venanzio (BO), Italy. VAT number (P.IVA) 03478920378. Medical Director: Dr. Marco Quarantini.

For any questions about this notice or to exercise your rights, you can call us at 051 814000.

2. Data we collect

'Prepare the first visit' form: if you choose to fill it in, we collect the child's name and age, whether it is their first visit, their mood, any special needs (which may include health information), favourite character, the parent's name and, optionally, a phone number and an email address. If you provide an email, we use it once to send you the first-visit guide summary; delivery is handled by an email service provider acting as data processor. The data is stored in a restricted archive accessible only to clinic staff and used exclusively to prepare and personalise the first visit. The form requires your explicit consent (art. 9(2)(a) GDPR for any health-related data).

If you contact us by phone or WhatsApp, we process the data you voluntarily provide (name, contact details and any information about your child's health) solely to respond to your request and manage the appointment.

'Spread your quote' form: if you choose to fill it in, we collect your name, phone and/or email, the simulated amount and number of instalments, any notes and the documents you decide to upload (a quote from another clinic and a photo of the panoramic X-ray, which constitute health data). Files are stored in a protected, non-public storage space accessible only to authenticated clinic staff and are used exclusively to assess the request and prepare our proposal. The form requires your explicit consent (art. 9(2)(a) GDPR).

While browsing, some technical data (such as IP address, browser type and access logs) is also processed, strictly necessary for the operation and security of the site.

3. Purposes and legal basis

Voluntarily provided data is processed to respond to your requests and manage appointments (Art. 6(1)(b) GDPR). Technical browsing data is processed to ensure the security and proper functioning of the site, based on the controller's legitimate interest (Art. 6(1)(f) GDPR).

Any aggregated, anonymous visit statistics are collected only with your consent (Art. 6(1)(a) GDPR).

4. Cookies

We use technical cookies, necessary for the site to function, which do not require consent. Your cookie banner choice and preferred language are stored locally on your device.

Any analytics cookies are activated only after your explicit consent via the banner. With your consent we use Google Analytics 4 (provided by Google Ireland Ltd.) for aggregated statistics on pages visited, device and geographic origin (city level), with anonymised IP address and no advertising or remarketing features. _ga cookies last up to 14 months. We do not use advertising profiling cookies. You can change or withdraw your choice at any time via the 'Cookie preferences' link in the footer.

5. Data retention

We keep personal data only for as long as strictly necessary for the stated purposes. 'Prepare the first visit' answers are deleted by the clinic once the visit has taken place or, at the latest, within 12 months of submission if the visit does not occur; you may request deletion at any time. Health data collected in the clinical setting is retained according to the legal terms applicable to medical records.

6. Your rights

Under Articles 15–22 of the GDPR, you can request access, rectification, erasure, restriction and portability of your data, object to processing and withdraw consent at any time.

You also have the right to lodge a complaint with the Italian Data Protection Authority, Garante per la protezione dei dati personali (www.garanteprivacy.it).

7. Children

This site is intended for parents and guardians. Children's data (name, age, needs) is entered exclusively by the parent or guardian through the 'Prepare the first visit' form, with prior consent.
